An Administration Executive is required for a maternity leave contract, reporting to Director of Finance & Corporate Services this brief demands a commitment to the goals and aspirations of the Companny. It requires the application of professional and technical skills along with relevant experience in a manufacturing environment.
KEY AREAS OF RESPONSIBILITY
1. Provide support in all aspects of Company administration as assigned by the Director of Finance & Corporate Services . This will include developing and improving systems to maximise efficiency and eliminate errors. 2. Provide general assistance to the Director of Finance & Corporate Services while ensuring confidentiality of all management, financial, legal, HR, corporate and other affairs. 3. Provide all secretarial support services as assigned by the Director of Finance & Corporate Services ensuring confidentiality. 4. Manage Reception/Secretarial contract staff, i.e., recruitment, training, management, reception relief as required. 5. Reply to internal/external correspondence. Distribute and log incoming fax messages 6. Maintain filing systems as assigned. 7. Receive and distribute external/internal post. 8. Ensure fax, photocopy machines, printers, franking machine are maintained in good working order. 9. Order and stock control of stationery and related office equipment. 10. Liaise with staff regarding conference and meeting room bookings. 11. Support Accounts Department with processing of invoices, petty cash, Asset Register maintenance, etc. 12. Schedule meetings/business trips overseas. Book flights and accommodation for staff business trips. 13. Perform routine IT duties and deal with IT and Office Automation maintenance contractors as assigned.
14. Maintain management/administration staff holiday calendars. 15. Input adjustments and print monthly time and attendance reports of Administration Department.
16. Maintain GMP Documentation Files held in the Administration Area. 17. Manage all aspects regarding work permits for Japanese staff, i.e., completing application forms, attending Aliens Office, Japanese Embassy with staff. 18. Manage all aspects of assisting Japanese staff ex-patriation/re-patriation issues as assigned by the Directors from time to time. This may include support to the families of Japanese staff. 19. Manage all aspects relating to Company Apartments
